The Challenge

Despite being an international leader in the construction industry for a century, OHL’s recruiters found it increasingly difficult to maintain strong relationships with both job applicants and internal stakeholders. Hiring for a variety of positions, from entry-level field-operations roles to executivelevel management positions, the recruiting team was receiving minimal and untimely responses from candidates. With more than 2,000 employees operating across nine states and no applicant tracking system (ATS) to support its recruitment efforts, OHL’s recruiters were repeatedly wasting their time trying to fill roles for which headcount was not confirmed. Additionally, the recruiting team was forced to manually track OHL’s complex and difficult job offer approval process; tracking the offer often took up more of the team’s time than it did to actually get the offer approved. When costly fees accumulated after leaning on outside agencies for assistance, OHL began to feel the need for recruitment-focused solutions that could help it streamline and centralise its talent acquisition strategy.

How iCIMS Helped

iCIMS’ Talent Acquisition Platform has allowed OHL to keep all of its recruitment data together in one place. With visibility into valuable information, from candidate records to costs associated with career fairs, OHL’s recruiting team is working more cohesively and effectively. “iCIMS has a lot of great functionality that has helped us streamline multiple processes overall,” said Adam Ingber, CHRO. Through iCIMS’ robust reporting capabilities, OHL’s recruiters can easily access and share information with their line Managers. “iCIMS reporting is great and provides us with the ability to track multiple metrics. One key area we measure is cost savings, and with the help of iCIMS, our recruiting team was able to drastically reduce the high spend on outside agency fees,” said Kate Johnson, OHL talent acquistion manager.

iCIMS has also helped OHL improve upon its job offer approval process. Utilizing both the requisition and offer approval processes within iCIMS, OHL’s recruiters have established a system that requires line Managers to provide justification when requesting to open specific roles in their region. To eliminate wasting recruiters’ time on roles created without confirming proper headcount first, managers must also send detailed information to the recruiting team before the role can be sent up for further approval. “In iCIMS, line Managers can approve requisitions through their mobile phones, which really expedites the process,” added Johnson. This refined process encourages line Managers to put more thought into each role and offer while also holding them accountable for these decisions.

To further enrich its talent acquisition strategy, OHL also invested in iCIMS TextRecruit and integrated it within the iCIMS platform. iCIMS TextRecruit’s user-friendly system allowed the recruiting team to become fully trained and setup within the first week. “TextRecruit has been a real game-changer. The integration with iCIMS has leveled up our candidate screening and interview scheduling processes,” stated Ingber. With TextRecruit, OHL has seen a significant improvement in both candidate response time and rate. Johnson added, “We’ve noticed an increase in our candidate response rate – they now typically respond within the hour, if not sooner. TextRecruit is the epitome of working smart, not hard.”




The simple and unified integration between iCIMS and TextRecruit has allowed OHL’s recruiters to gain efficiencies in their day-to-day routines. As the recruiting team reviews resumes in iCIMS, they can begin the initial screening process by simply clicking on the candidate’s phone number to instantly engage them through TextRecruit. This provides a quick and easy way for recruiters to gain clarity on how soon a candidate would be willing to relocate to a specific region, along with other qualifying questions. iCIMS has also enhanced OHL’s interview scheduling process. Line Managers can provide their availability to recruiters via phone, while recruiters simultaneously text message candidates from their dashboards to confirm interview dates and times.

Communication with all parties involved in the recruiting process has improved greatly through iCIMS TextRecruit.
